Your phone will ring, your clients will have another &#8220;emergency&#8221; that becomes your problem, and life will happen. Shocking, I know.&nbsp;</p><p>You've tried everything, haven't you?&nbsp;</p><p>Noise-canceling headphones. "Do Not Disturb" signs. Maybe even considered faking your own death just for a break. Newsflash: It's not working.</p><p>Fighting interruptions is like trying to stop the tide with a bucket? You're going to get wet, and you're going to look stupid doing it.</p><p>Research from the University of California, Irvine, shows that the cost of interruptions varies significantly based on task complexity.&nbsp;</p><p>Complex tasks can take up to 23 minutes to resume after an interruption. Simpler tasks have much lower resumption costs.</p><p>Think about that.&nbsp;</p><p>Every time you're interrupted during deep work, you're potentially losing 23 minutes. Harvard Business Review found that executives are interrupted every 4 minutes on average. They&#8217;re haemorrhaging productivity faster than a politician's promises evaporate after election day.</p><p>But there's a simple solution. Including myself.</p><p>I was so caught up in preparing for imaginary success that I forgot to actually achieve it. As Steve Jobs famously said, <strong>"Real artists ship."</strong></p><p>Sound familiar? Maybe you're not daydreaming about managing a massive team. But I bet you're polishing something that doesn't exist yet:</p><ul><li><p>Learning how to scale when you haven't even started</p></li><li><p>Buying domain names for projects you haven't validated</p></li><li><p>Agonising over colour schemes for a website with no content</p></li><li><p>Obsessing over the perfect logo for a product you haven't launched</p></li><li><p>Researching advanced marketing strategies for a business with zero customers</p></li></ul><p>Your friends are too polite to say it, so I will: This is all just fancy procrastination, and you know it. productivity.&nbsp;</p><p>It states that 20% of your efforts produced 80% of your results. This is supported by the fact that the average worker does 90 minutes of deep work daily. That&#8217;s less than 20% of an 8 hour work day.</p><p><strong>But the 80/20 rule is about to be retired.</strong></p><p>The work world has changed. AI and automation excel at the 80% &#8212; the routine, the repetitive, the tasks that can be systematised into checklists and SOPs.&nbsp;</p><p>What's left for us humans? The 20% &#8212; the strategic thinking, the creative problem-solving, the deep work that moves the needle. The future belongs to those who can focus on the stuff machines can&#8217;t.</p><blockquote><p>"Automation will not replace jobs, but it will replace tasks. The key is to focus on the tasks that require uniquely human skills." - Paul Daugherty</p></blockquote><p><strong>The problem?</strong> Most of us have forgotten how to do deep work. We've been conditioned to crave distractions. We measure our worth in to-do lists and email responses.</p><p>But in the age of AI, deep work is no longer a luxury &#8212; it's a necessity.</p><p>Forget cute little Pomodoro timers or another cup of coffee. This is about tapping into the same mental state that lets LeBron sink game-winning shots or Simone Biles defy gravity.</p><p><strong>This is Sports Mode.</strong></p><p>Let&#8217;s dive in:</p><h2><strong>Why Deep Work Matters Now More Than Ever</strong></h2><p>AI is not the villain here. It's a powerful ally, capable of freeing us from mundane tasks and unlocking new levels of productivity.</p><p>I am a huge fan of AI and use it daily. They promise to help us stay organised and productive. But in reality, they've become the very thing that's holding us back.</p><blockquote><p>A survey by the Pew Research Center found that 60% of U.S. adults feel that they cannot get their work done in a typical workday. (<a href="https://www.pewresearch.org/fact-tank/2016/06/30/for-most-americans-more-hours-dont-mean-more-pay/">Source</a>)</p></blockquote><p>Sarah, a marketing agency owner, found herself drowning in a sea of tasks.&nbsp;</p><p>Her to-do list app had become a source of constant stress and anxiety. She was left feeling overwhelmed and inadequate. No matter how many tasks she completed, there were always more waiting to take their place.</p><p>This is the reality for countless people who find themselves trapped in the modern-day sweatshop of their to-do lists and task manager apps.&nbsp;</p><p>These digital checklist overlords don't care about our well-being or our ability to achieve our goals. They only care about keeping us chained to our work, forever chasing an impossible standard of productivity.</p><p>The Zeigarnik Effect, a psychological phenomenon that causes unfinished tasks to linger in our minds, only adds to the torture. Unfinished tasks become constant reminders of our perceived failures and shortcomings, haunting us even when we&#8217;re away from our computer.</p><p>A task manager has no emotion or empathy. It&#8217;s job is to allow you to easily add endless work onto your day.</p><p>It doesn&#8217;t understand your abilities, nor does it care if you&#8217;re tired or sick. The problem isn&#8217;t about checking off more tasks; it&#8217;s about the lack of intention in how you approach them.</p><p>But it doesn't have to be this way.&nbsp;</p><h2><strong>Task Tagging: Matching Your Mindset to Your Tasks</strong></h2><p>There is a solution that can help us break free from the tyranny of our task managers and reclaim control over our lives. It's called Task Tagging, and it has the power to change the way we approach our to-do lists.</p><p>Task Tagging is a simple method with real results.&nbsp;</p><p>You categorise tasks based on the mental state, or focus, they require. By aligning our tasks with our required level of focus, we can unlock our full potential and achieve better results with less stress and frustration.</p><p>Your working memory, the mental workspace where you process information, has limited capacity. Each time you switch between unrelated tasks, you force your brain to play catch-up, leading to mental exhaustion and reduced output.</p><blockquote><p>A study by the National Bureau of Economic Research found that task switching can decrease productivity by as much as 40%. (<a href="https://www.nber.org/papers/w16655">Source</a>)</p></blockquote><p>Task Tagging solves this by:</p><ul><li><p><strong>Eliminating Decision Fatigue</strong>: No more agonising over which task to tackle first. The tag tells you.</p></li><li><p><strong>Optimising Brainpower</strong>: Matching your mental state to the task unlocks peak performance.</p></li><li><p><strong>Boosting Intentionality</strong>: You consciously decide how to approach each task, leading to greater focus and better results.</p></li><li><p><strong>Reducing Attention Residue</strong>: Minimising the mental fragments left behind by switching tasks frequently.</p></li></ul><p>The Amygdala, a region of the brain involved in processing emotions, can become overactive when we're stressed or overwhelmed.&nbsp;</p><p>This can lead to feelings of anxiety and make it difficult to focus on tasks. By categorising tasks based on Focus Modes, we can help regulate our emotional responses and maintain a sense of control.</p><h2><strong>How to Implement Task Tagging</strong></h2><p>This simple system can be easily implemented in any task management tool.</p><p>For the demo I walkthrough using <strong><a href="https://culturedcode.com/things/">Things</a></strong> task manager. But I apply this exact same process to <strong><a href="https://get.todoist.io/nbb8oh1wbssi-H">Todoist</a></strong> (task manager) and <strong><a href="https://try.sunsama.com/uam5xgz6nz25">Sunsama</a></strong> (daily planner).</p><p>It will transform your to-do list from a source of stress into a sign towards success. Too often people rely on willpower and motivation to achieve their goals. But then they set vague intentions like "I'll be more productive" or "I'll learn something new," without a clear plan of action.</p><p>As a result, they struggle to turn their intentions into actions. </p><p>They end up feeling frustrated and discouraged.</p><p>When you fail to follow through on your intentions, it slows your progress. </p><p>But worse, it destroys your self-confidence. You start to doubt your ability to achieve your goals. <strong>convergent</strong>.</p><p>Divergent thinking is about exploring possibilities, generating ideas, and thinking outside the box.</p><p>Convergent thinking, on the other hand, focuses on finding solutions, analysing information, and making decisions.</p><p>Physical environment plays a significant role in determining thinking modes. By strategically altering your environment, you can encourage how you think at any given moment.</p><h2>Environmental Influence and Nudging</h2><blockquote><p>&#8220;If you want to encourage some activity, make it easy.&#8221;<br>Nudge: Improving Decisions About Health, Wealth, and Happiness by Richard H. Thaler and Cass R. I&#8217;ll take a few minutes to absorb the content. Then I go for a walk to allow the ideas to percolate while encouraging creativity.  </p><ul><li><p><strong>Nudge</strong>: Not being able to write the newsletter nudges me to run through more ideas before I start writing. </p></li><li><p><strong>Environment</strong>: Also the open outdoor environment literally allows my thoughts to expand.</p></li></ul><p>I&#8217;m doing <strong>analytical work</strong> (like creating a content plan for the next month). </p><p>I&#8217;ll declutter my desk, close all open apps on my Mac and put a drink on my desk. </p><ul><li><p><strong>Nudge: </strong>I remove negative opportunities for distractions (like being thirsty).</p></li><li><p><strong>Environment: </strong>I sit at my desk which faces away from windows and distractions. do with founders and their businesses?</p><p>It's easy to assume that someone else has the answers to solve your problems.</p><p>Founders have access to endless resources, books, courses advisors at your fingertips.  But the more information you consume and the more "experts" you follow &#8212; the less likely you&#8217;ll be to take decisive action. Too many people waste an eternity chasing the perfect formula for success. </p><p>A business stuck in constant research mode will remain on the runway without ever taking off.</p><h2><strong>The Risks of Being an Observer in Your Business</strong></h2>
